Poultry Equipment Quotation: What to Check Before Paying

Shouhui Poultry Equipment · Editorial guide · Updated

Two poultry equipment quotations can have the same bird number on the cover and describe different purchases. Before negotiating the total, mark every line as included, excluded, optional or unclear. The unclear lines deserve attention first.

Keep the quoted layout beside the price schedule. If a drawing and a quotation disagree, ask for a corrected revision rather than trying to remember which explanation was given in a phone call.

Does the quantity schedule match the drawing?

Check the model, rows, tiers and repeated sections. Reconcile the stated capacity with the bird allowance used for the actual compartments. Then check the equipment that serves those rows: feeders, water regulators, drives, egg transfers, manure conveyors and controls.

A unit called “one set” is not a useful quantity until it is defined. Ask whether it serves a cage section, an entire row or the whole house. For each major machine, record the model, quantity and connection point. This catches scope differences that a price-per-bird comparison misses.

Replace material adjectives with specifications

“Heavy duty” and “high quality galvanized” cannot be checked at delivery. Ask for the material and coating information appropriate to each component, along with dimensions or tolerances where they affect the order. Cage wire, frames and fasteners may not share the same coating process.

The galvanizing guide explains why surface appearance and a blanket service-life promise are weak substitutes for an agreed specification. Keep the inspection method and acceptance basis with the purchase documents.

Read delivery terms as carefully as the equipment list

Write the agreed Incoterms rule, named place or port, and version in the order. The seller paying transport to a destination does not necessarily mean the seller carries the transport risk all the way there.

The ICC's Incoterms 2020 checklist distinguishes container or multimodal handover from cargo loaded directly aboard a ship. Discuss FCA, FOB, CIF or another suitable rule with the parties arranging the shipment rather than automatically asking every supplier for CIF. Also identify destination handling, customs work, local taxes, inland transport and unloading in the cost schedule; resolve what the agreed contract includes before adding estimates.

Ask for a packing plan appropriate to the ordered equipment. Do not estimate container count from bird capacity alone. Row length, machine selection, packing method and shipment sequence can change the result.

Who completes the work after delivery?

Installation may mean supervision, assembly labour or a much wider package. Those are different services. Ask who supplies lifting equipment, local workers, wiring, water connections, accommodation and commissioning utilities. Use the installation-cost checklist to assign each task.

Define handover too. What is tested, who witnesses it, what records are delivered and how are outstanding items closed? A shipment date is not the same as a farm-ready date.

Payment and warranty belong to this particular order

Do not treat a deposit percentage found in an article as an industry rule. Link the agreed payment milestones to identifiable documents or events, and have the commercial terms reviewed for your transaction. Check the payee against the contracting company before making a payment.

For the warranty, separate the frame, bought-in machines, electrical components, wear parts and consumables. Ask about exclusions, the claim process and responsibility for travel or replacement freight. Keep the answer in writing; a long warranty headline can still leave expensive work outside its scope.

A short clarification message you can reuse

“Please revise quotation [number/date] against drawing [revision]. For each item below, confirm the model or specification, quantity, included work, exclusions and price effect. Please also identify the documents and tests supplied at handover.”

List only the unresolved items underneath. Send the same questions to each bidder, then compare the revised offers. If a supplier cannot explain a line, leave it marked unresolved instead of treating it as free.

When you request a proposal, include the house dimensions, bird type, destination and automation requirements. That gives the quotation a project to describe and gives you something concrete to check.
